Equipment and tool tracking for public sector units, schools and universities
In short
Equipment tracking for the public sector and education records which item is held by which person, crew, classroom or department, and what condition it is in. It closes the gap between the register and the field, where equipment moves between people, vehicles and units without a shared history. Start with one unit or one department, label the equipment that moves most and run issue and return through a register for a semester or a quarter.
The situation before adoption
Public units and educational institutions have a particular shape. They are spread across buildings, depots and campuses. Equipment is shared between teams. Staff change with budgets, terms and contracts. Finance keeps a formal register, but the field uses something else: the janitor's key list, the IT teacher's spreadsheet, the depot foreman's notebook.
The register and the field speak different languages. The value in the record does not answer the question: where is it, and does it work?
Typical problems:
- Nobody in the unit knows what a given crew has. Equipment circulates between people, vehicles and tasks with no clear responsibility.
- Tablets, laptops and projectors move between classrooms and departments. The record keeps the original room.
- An employee change interrupts responsibility. A teacher leaves or a crew is reorganized, and the list of what they held is lost.
- Lab and workshop tools go missing between terms. The shortage is found when the next group starts.
- A count shows a difference but not its source. Without a record of moves, the difference is explained from memory.
- Several people issue equipment. Each keeps their own list.
The result is ordinary: items that exist in the register but are not where they should be, and purchases that repeat what the unit already has.
How the process looks with the module
Remanently Tools brings accountability to the movement of equipment. It does not replace the finance register. You can start with one process without changing the whole accounting environment.
- Register. Each item has a record. People, whether teachers, crew members or administrative staff, are entered in the employee register.
- Request or reservation. A department reserves a projector, a set of tablets or a power tool for a date, and sees availability before the item is issued.
- Issue. The item is identified with a QR code, barcode or RFID and issued to a named person. A handwritten signature is given on a smartphone screen.
- Return. The return is recorded with the condition of the item. If it needs repair, the process continues in Remanently CMMS with the history attached.
- History. The next person sees who held the item, when and on what basis.
If the item is also a fixed asset, the same record is used by Remanently Assets, so that location and assignment in the field and the register stay consistent. Scattered assets and their stocktakes are covered in asset tracking for public sector and education.
What changes for each role
The unit manager or school director sees equipment by person and place, and who holds items past the agreed time. Before a purchase is approved, the register shows whether an idle unit exists elsewhere in the institution.
The crew leader, teacher or department head reserves what is needed instead of asking around, and returns it with a short condition note.
The administrator or equipment custodian works from scans, not from paper lists, and sees what is overdue.
Accounting gets a record of moves and of the condition at return, which helps when the formal register and the field do not agree. Questions about write-offs, public procurement rules and reporting obligations are for your accountant and legal advisers, and the register supports their work with facts.
IT sees which devices are with which person, which supports accounts, licenses and returns at the end of a term or a contract. For this part, see laptop tracking software and employee offboarding and equipment return.
Responsibility that survives a change of staff
Public units lose knowledge when people change. A good practice is to treat responsibility as attached to the item and to the register, not to a person's memory. When a person leaves or a crew is reorganized, the list of items recorded against them is generated from the register and each item is returned, transferred or confirmed. The transfer is signed and recorded, so the history of responsibility does not break. A simple confirmation twice a year, for example at the start of each term, catches most gaps. The method is described in employee equipment tracking.
How to start at one site
- Choose one unit. One depot, one school building, one department or one faculty.
- Choose one category. For example crew tools, classroom devices or laboratory instruments.
- List, label, enter. Walk the rooms, label the items, enter them with a holder or a home location.
- Run issue and return through the register for a quarter or a term. Use it for every movement, including loans between departments.
- Review. How many items could not be found, how many requests were met from existing stock, and what the unit wants to add.
The free package supports one managing user, up to 25 employees and up to 500 records. The Quick Start package adds the mobile app, scanning, signatures, deadlines and reminders. The TIME IS MONEY package adds reservations, self-service and several issue points. See pricing. For forms that precede software, see the equipment checkout form and the key control log. For the category overview, read equipment tracking software.

Frequently asked questions
Does the equipment register replace our finance system?
No. You can start with one process, such as issue and return of equipment, without replacing the finance and accounting environment. If an item is also a fixed asset, the record can be shared with the asset module.
How do we keep responsibility when staff change?
Generate the list of items recorded against the leaving person from the register, then return, transfer or confirm each item with a signed record.
Can departments reserve shared equipment?
Yes. A specific item can be reserved for a date, and availability is visible before issue. Reservations are part of the TIME IS MONEY package.
Do teachers or crew members need licenses?
No. Limits apply to people who manage the process. Employees recorded in the register do not use up a license.
Can we handle keys and classroom devices in the same way?
Keys and devices can be recorded as items in the register and issued with a named holder, a signature and a return.
Where do we start?
One unit, one category of equipment and a quarter or a term of running issue and return through the register.
