Trade promotion management for retail chains: keeping supplier terms in order

6 min read · Remanently team

    In short

For a retail chain, trade promotion management means recording the terms agreed with suppliers, checking that promotions and bonuses are applied as agreed and keeping the cost and result of each activity visible across stores. Remanently Trade Marketing joins budgets, price lists, turnover, promotions and bonus settlement in one process, including terms that span several entities. A chain can start with one region or one supplier category and expand after the first cycle. A demo on your own data tests the fit.

    The situation before adoption

A retail chain deals with many suppliers at once, and every supplier has its own conditions. Promotional prices, volume rebates, listing fees and support for in-store activity come in different forms and arrive at different times. Across dozens or hundreds of stores, the picture is hard to hold together.

    • Supplier terms scattered. Agreements in a folder, changes in email, verbal commitments from a visit.
    • Promotions run store by store. Prices change at the till or on the shelf, and the link to the supplier's promotion is not always recorded.
    • Rebates claimed late. Volume conditions are checked after the period. If the data is incomplete, the claim is smaller than it should be, or it is never made.
    • Several entities. Stores, regional companies and a central purchasing unit may all appear in the sales data, while the condition belongs to the group.
    • No cost-and-result view. A promotion increased sales of a category, but nobody can say what the terms cost or what the supplier contributed.
    • Budget by category, spend by hand. Category managers have targets but use is visible only at period end.

The consequences are quiet. Money owed is not collected, promotions repeat without review, and decisions are made on turnover alone.

How the process looks with the module

Remanently Trade Marketing follows the path from budget to a calculated result. For a chain, the key point is that conditions can be assigned to entities and products and checked against turnover.

    1. Budget. Define the amount for commercial activities, by organization, region or customer.
    2. Terms. Record discounts, free goods, bonuses and thresholds.
    3. Assignment. Connect products and entities to each campaign.
    4. Turnover. Import sales data. Excel import is available for turnover and price lists.
    5. Settlement. Conditions and tiers are calculated from the data.
    6. Result. Reports show target fulfillment, settlement of terms and profitability.

Where a condition covers several related entities, umbrella promotions and umbrella bonuses in the extended scope consider them together. That avoids a common error: each store looks below the threshold, while the group is above it.

    What changes for each role

    Category or sales manager

The manager can see which terms apply to which products and how a supplier or category stands against a threshold during the period. Promotions are linked to terms, so the question "what was agreed" has one answer. Negotiations start from recorded cost and result, not from memory.

    Finance

Finance sees the budget by line and the cost of terms. Conditions calculated from turnover are the basis for claims and settlement, and the team reviews figures instead of building them. See quarterly rebate settlement template for a checklist that applies whatever tool you use.

    Director

The director gets a view of profitability, not just sales. Promotions that move volume at a cost above the margin become visible, as do activities worth repeating. The measurement method is in trade promotion effectiveness.

How to start in one region

    1. Choose one region or one supplier category. A category with several active promotions and at least one bonus condition is a good test.
    2. Gather the agreements. Include promotions, bonuses, thresholds and which entities they cover.
    3. Define the entities. Decide which stores or companies belong to the condition.
    4. Import turnover. Use the data you already have.
    5. Run one period. Calculate the conditions and compare with your current figures.
    6. Review and extend. Record what the first cycle revealed, then add regions and categories.

Questions to settle before the first cycle

    • Which entity owns the condition? The store, the regional company or the purchasing unit. The answer decides how turnover is grouped.
    • Which period applies? Calendar quarter, fiscal quarter or the agreement date. Supplier and chain must read the same dates.
    • How are returns treated? If the base is net of returns, the data must include them.
    • Who records a change of promotional terms? A change agreed by phone should still reach the record the same week.
    • Who checks the result? Name one person in the category team and one in finance.

These questions are not specific to any software. Answering them first makes the first cycle quicker and the comparison with current figures meaningful.

What a chain gains from one view

The main gain is not another report. It is that the same facts are visible to everyone who needs them. The category manager sees a supplier's position against a threshold in the middle of the quarter and can adjust the next order or the next promotion. Finance sees the same position and can plan the claim. The director sees the result of both. When each of them works from a separate spreadsheet, three versions of the truth circulate, and meetings are spent reconciling them.

A chain also benefits from the habit of recording the result. After each promotion, one line in the record says whether it should be repeated. Over a year, that builds a body of evidence on which suppliers and which activities actually help the chain, and the next negotiation begins from it.

    Frequently asked questions

How can a retail chain use trade promotion management?

To record supplier terms, promotions and bonuses in one place, calculate conditions from turnover and see the cost and result of each activity across stores.

Can a condition cover several stores or companies?

Yes. Umbrella promotions and umbrella bonuses in the extended scope cover several related entities, so the combined result can be checked against a condition.

Can turnover be loaded from existing data?

Yes. Turnover and price lists can be imported from Excel instead of being retyped.

    Where should a chain start?

With one region or one supplier category. Gather the agreements, import turnover, run one period and compare the result with the current figures.

Who needs a license in a retail chain?

The package counts people managing the Trade Marketing process. Stores, partners and other entities taking part in promotions are not automatically additional paid users.
