Verify the data scope
Compare similar periods and check whether transactions moved to another branch or product code. Adjustments, packaging changes and incomplete imports can also create an apparent decline.
Review earlier regularity. No purchase after an exceptional large order differs from a broken recurring cycle.
Ask about the need, not an accusation
Prepare a question about changed applications or work plans. The customer should not have to defend a report whose scope they may not recognise.
Connect the observation with the last discussion. The change might have been mentioned but left in a note disconnected from transaction history.
Record the explanation and useful next action
If the need remains, establish the obstacle and an appropriate step. If the application ended, retain that fact rather than creating an artificial opportunity.
For a sales manager, distinguishing relationship loss from a natural purchasing change matters. CRM joins transactions with meeting knowledge. A decline can then lead to a relevant conversation rather than automatically prompting a discount or repeated offers for a category the customer no longer needs.
