Describe the expected outcome
“Contact customer” is less useful than specifying what the conversation should clarify. “Prepare proposal” likewise needs scope derived from the agreed need.
The description need not be lengthy. The assignee should understand completion and where to find the case context.
Assign ownership and timing
The owner need not perform every activity but should move the matter to its next step. Passing it elsewhere needs clear acceptance.
The date should follow an agreement or plan rather than a default form value. If work awaits information, establish who checks for its arrival.
Keep the result after completion
A tick should not erase what was obtained. Retain the answer, decision or further agreement so another person does not repeat the work.
For an operations manager, understandable tasks reduce repeated questioning. CRM connects them with accounts and contact history. A reminder is useful when it points to a clear objective and someone genuinely responsible, rather than simply drawing attention to another ownerless note on the shared list.
