Where might the item be?

It may be at another location, with an employee, under repair or in transit. Sometimes it is present under an old name or identifier. Physical searches and data checks therefore often support each other.

An up-to-date history reduces guesswork. A handover document identifying the unit provides more information than a general recollection that somebody may have taken it.

Why does the timing matter?

Equipment may move before the count or while teams are working. Dates help connect findings across areas and establish the position to which the records refer.

Incomplete documents require further confirmation. Finding an account of a possible transfer is different from establishing where the device went.

Better history makes investigation easier

Operational records help trace a particular item's route. Responsible people still make the final assessment and determine the appropriate treatment. The benefit is clearer evidence before an absence is regarded as a fully explained loss.

Accounting teams particularly benefit from an identified unit and supporting document, rather than a general assurance that equipment is somewhere off site.
