What can move from the existing list?
Identifiers, descriptions, users and locations can form the starting register. Columns need to match the destination fields. An identifier stored as text may lose leading zeros if it is treated as a number.
A trial import using different records reveals whether important details survive. This includes dates, special characters and values missing from the new reference lists.
When does import reveal a need for cleanup?
Repeated numbers, former employees and ambiguous room names often become visible when files are combined. An application may flag a missing value or reject a record, but establishing the correct information still requires a reliable source.
Keeping the original data and a record of transformations makes it easier to explain where a particular entry came from.
One maintained register instead of another copy
The benefit depends on agreeing how work continues after import. If changes still go only into the old spreadsheet, the business starts maintaining two versions of the information. Loading a file begins the transition; it does not complete it.
