Identify the case owner
Assign a person or team to follow the whole matter even when several disciplines perform the work. This makes it clear who checks progress and agrees the next action.
The reporter need not coordinate the case, and the technical decision-maker may not perform every task. Describe the roles without creating unnecessary parallel orders.
Confirm handovers
A reassignment should retain the result so far and reason for transfer. Moving an item to another queue does not prove its recipient understands scope and timing.
Where work awaits a shared condition such as machine access, identify who resumes planning once that condition is met.
Keep one status picture
Separate team comments should not produce contradictory completion information. A shared record needs completed actions and outstanding work together.
For a maintenance manager, current responsibility should be identifiable without calling every shift. CMMS can connect teams and statuses. Clear acceptance rules determine whether the shared list supports cooperation or merely displays the same unresolved issues to everyone.
