Separate customer feedback from interpretation
Retain what was actually said and what remains unknown. No response does not confirm a specific cause.
Loss may concern scope, timing, purchasing arrangements or postponement. It does not always mean a competing supplier won or the whole relationship ended.
Check where difficulty appeared
Was the need confirmed? Did the proposal match requirements and reach the right person? Earlier history helps explain the decision without assigning every cause to the last discussion.
A brief specific note is more useful than an unsupported general label. It should describe this opportunity rather than permanently characterise the account.
Establish whether a return is justified
For a postponed project, record an event or date supporting further contact. For a completed matter, do not keep an artificial active opportunity.
For a sales director, repeated confirmed reasons and process weaknesses matter. CRM retains outcome and history. A loss can then support the next action instead of merely reducing the open pipeline total or triggering an unjustified price reduction.
