Identify the requirement

Calibration, legal metrological verification and internal checks are not interchangeable terms. Requirements depend on the instrument and its application. Do not assign one universal interval to every device.

For a specific unit, retain the activity type, basis for its date and responsible person. Model identity is insufficient where individual instruments have different histories.

Connect documents with the outcome

An attachment must concern the correct unit and event. Establish who evaluates the information and how it affects use in the particular process.

Uploading a certificate or changing a date does not settle this automatically. Incomplete information should not be replaced with an assumed “fit for use” status.

Give the user a clear next step

Agree identification and handling pending the appropriate decision. A reminder to an administrator does not help if the workstation user still sees uncertainty.

For quality teams, continuity between dates, documents and permitted applications matters. CMMS can organise the information; interpretation and required actions must follow the requirements applicable to that instrument and its actual use.
