Why link documents to individual units?
One document may cover many items. Attaching a file only to a model name may not identify the relevant device. Connecting it with an asset identifier helps locate the right purchase, repair or handover.
It also helps during inventory. If equipment is absent, a documented dispatch for repair explains more than a note saying it is probably being serviced.
How does document organisation support handling?
An accessible history reduces the effort needed to reconstruct earlier decisions. A custodian does not have to establish the purchase date again or ask a former user about a repair request.
Versions and access rights still matter. Someone needing technical documentation may not need commercial information. An unapproved draft should not appear to be final evidence of a handover.
A benefit that remains useful over time
Linking documents to an asset record preserves knowledge beyond employees' memories. This helps with repairs, system changes and investigations into earlier events. Finding the right document becomes part of everyday asset handling.
