Connect the person with their role in the subject
Know who describes the need, reviews requirements and participates in the decision. Do not infer this solely from job titles; the actual role may vary by project.
Someone can participate differently in several opportunities. Keep the information contextual rather than making it a permanent label across the entire relationship.
Preserve shared agreements
After a conversation, distinguish one participant's view from an agreement covering the whole scope. Record who confirmed it and who still needs to review it.
Before another proposal, check open questions. This helps avoid one salesperson promising something that conflicts with another colleague's discussions.
Establish a communication coordinator
Several colleagues can contribute, but responsibility for coordinating answers should be clear. The customer should not have to combine separate promises themselves.
For operations and sales managers, the aim is one understandable opportunity history without losing differences between participants. CRM connects companies, contacts and opportunities. The connection is useful when notes identify both the person and the conversation's significance for the current subject.
