Why establish identity first?
The serial number, description and documents help locate the correct record. Assigning an arbitrary new number can create a duplicate and leave the old item marked as missing.
The issue is therefore identification. Printing a new sticker does not establish which device it belongs to.
Reproduce the identifier or link a replacement
The existing identifier can be reused, or a new label can be introduced through a controlled change. Either way, links to earlier documents and reads need to remain. This also applies when moving from printed codes to RFID.
Leaving two active labels without a clear relationship can make later checks more difficult.
A continuous history has practical value
After replacement, the user can still find the purchase, repairs and earlier handovers. The next count should not treat the equipment as a new item simply because its label is new. Consistent identification supports the reliability of the records as a whole.
The team also needs a procedure for cases where identity cannot immediately be confirmed. Recording an unresolved case is more reliable than assigning the first similar device found on the list.
