When does an individual history matter?
Separate identification is useful when repairs, warranties, users or locations matter. Two similar devices can have very different histories and technical conditions.
Other categories may only need quantity control at a location. The choice should reflect how the equipment is managed and remain consistent with the organisation's recording policies.
How does unit identification work?
Each item has its own identifier, while the model remains a shared characteristic. This lets people search a whole category and trace a particular unit.
The benefit becomes clear during an exchange. Instead of a note saying that a monitor was issued, the record identifies the monitor received by the user and the one returned.
Fewer uncertainties during a count
Distinguishing units helps reveal substitutions and repeated counting of the same item. It also makes repair documentation easier to match. The total quantity can be correct while individual assignments still need investigation.
