The equipment custodian and current user

A custodian can coordinate availability and upkeep without using the device personally. The current user answers a different question: who has it now? Keeping these roles distinct directs questions to the right person.

A booking calendar can show the plan, but confirmed collection and return describe the actual circulation of the equipment.

Why is a free time slot not enough?

Equipment can come back incomplete or with a fault. The next person needs to know whether it is ready for use. Availability and condition should therefore be visible separately.

Otherwise, the problem only becomes apparent when the next scheduled job begins.

The benefit of shared records

Users can find the equipment and understand its status, while the custodian retains a handover history. This also helps during inventory when the item has no permanent personal assignment. Shared resources become less dependent on informal arrangements.

For a department manager, the end of use is a practical control point: where was the item left, who confirmed its return and was a fault reported? The next reservation can then be based on more than a plan.
