Connect documents with equipment and scope

A similar model's manual may not describe the same configuration. Retain equipment identification, version and relevant change information.

Different work may need a current instruction, earlier service report or modification record. A long undifferentiated attachment list does not necessarily reduce searching.

Distinguish current from historical material

An earlier version may explain a previous repair without being the current basis for action. Agree how versions are identified and changed.

Establish who reviews contractor documents too. Uploading an attachment does not confirm that it concerns the correct scope and device.

Check access where work happens

Technicians need the relevant material under actual working conditions and the organisation's access rules. Test readability and retrieval rather than checking only from an office computer.

For a maintenance manager, documentation should support execution and later explanation. CMMS connects work orders, equipment history and attachments. Version control and correct assignment determine whether the files help or create another source of uncertainty, particularly when another shift continues the work.
