Begin with relationship basics

Check companies, contacts and linking rules. Multiple branches need a distinction between shared history and local matters rather than another account for each enquiry.

A small pilot scope tests these rules without cleaning the whole database immediately. The team must reliably recognise the correct record.

Agree stages and next actions

An opportunity needs a defined subject and stages based on agreements. Tasks need purpose, owner and timing. Otherwise, a reminder simply raises the question of what was meant.

Retain results when closing actions. A tick alone gives the next person little knowledge for continuing the conversation.

Automate an understood recurring rule

Test typical cases and an exception first. Establish the trigger, recipient and way to stop an incorrect flow.

For an owner, the first CRM month should organise work around real cases. Rules and reminders can then reduce routine rather than increase messages generated from untrusted data. Review whether the automation helps a specific action reach completion instead of measuring success by the number of notifications it sends.
