Establish one reference point
Identify the equipment record used by reports, work orders and documents. This does not require removing every departmental name; useful secondary identifiers can remain.
Confirm that the identifiers concern the same unit. A similar model or line name is insufficient when several such machines operate at the site.
Make selection practical at reporting
Shop-floor employees should recognise the device without understanding the entire register structure. A readable label, location and familiar team name can help.
Avoid creating a new record merely because the existing one was difficult to find. That shortcut produces another history that later needs reconciliation.
Check earlier event links
Agreeing names is insufficient if previous repairs remain under different records. Preserve data origins and confirm assignments when consolidating information.
For IT, the concern is a consistent reference between sources; for maintenance, it is complete unit history. CMMS uses shared identity to connect events. EAM provides wider asset context, while technical work needs different names to lead reliably to the correct equipment.
