Why might an item be absent from the list?
A device may be assigned to another branch, carry an old identifier or belong to a larger set. It may also be third-party equipment. Identity and ownership need investigation before another asset record is created.
Manufacturer numbers, labels and delivery documents help search records held by other departments as well as the working list.
What should be captured on site?
A description, location and readable identifiers make later investigation possible without another search. A photograph may help others recognise unusual equipment.
A provisional finding should remain distinguishable from an approved new asset record. Otherwise, resolving one mismatch may create a duplicate.
Establishing origin makes the result clearer
Once the equipment's origin is understood, it can be linked to the right record or prepared for appropriate further recording. The team gets an explanation, and the business retains the decision history rather than an unexplained extra entry.
Accounting can then assess the established origin and ownership of an item rather than starting from an unverified additional entry.
