Check whether history helps another person

Select completed repairs and ask another technician to reconstruct symptoms, scope and outcomes. If they must find the original author, necessary knowledge remains outside the system.

Review a recurring fault too. At the new report, are earlier actions available against the correct equipment and understandable to the next technician?

Review open cases

Work awaiting parts, a decision or machine access needs an owner and next step. “In progress” alone does not explain the lack of movement.

For inspections, check execution and outcomes rather than dates alone. Deferred work should remain in view with an agreed continuation.

Improve the rule where difficulty occurs

An incomplete entry does not always require another field. A clearer instruction, appropriate recipient or simpler equipment selection may be sufficient.

For an operations director, useful evidence shows the team using history and completing follow-up. CMMS should retain knowledge needed for work. Event counts begin the review rather than providing its final conclusion or establishing that the underlying maintenance process has improved.
